As service coordinator, you exercise operational oversight of the Sunday service. You oversee each service team and troubleshoot, both proactively by looking for things that need to be done, and retroactively when things go wrong. Together with the preacher and worship leader, you have a key role on a Sunday. You serve at both services not more than once per month.

Team Leader and Team

Preparation

  • If you are unable to fulfil your duty please give your team leader sufficient notice.

Arrive

  • Please arrive no later than 8.00am for the 8:30am service.

Before the Service

  • Walk around the front of the building and check general appearance (litter etc).
  • Check with the preacher and worship leader if there is anything to note about the services (baptism).
  • On Communion Sundays ensure the worship team has been handed communion elements.
  • Ring the bell 5mins before each service.
  • Ensure that people come into the church on time.
  • Ring the bell sharply at 8:30am and 10:30am.

Keys

  • In the event that you need keys request them from Katleho or Tshepo.

Main Hall

  • Ensure the seats are set up neatly for the service (see Appendix 2: Seating Plan).
  • Ensure no chairs are brought into main hall. Door greeters must usher latecomers to seating.
  • Don’t encourage movement during times of prayer.
  • On Communion Sundays ensure the elements are prepared (liaise with the hospitality team). 

Tented Area

  • Ensure the seats are set up neatly for the service (see Appendix 2: Seating Plan). 
  • Ensure TV and speakers are on and working 10min before service (liaise with sound team).

Toilets

  • Unlock doors, turn on lights and open windows.
  • Ensure there are toilet rolls in the toilets (liaise with the hospitality team).

Fellowship Hall

  • Unlock doors, turn on lights and open windows.
  • Assist the hospitality team to move the coffee and tea tables outside.
  • Ensure the seats are set up neatly for the service (see Appendix 2: Seating Plan).
  • Ensure TV and speakers are on and working 10min before service (liaise with sound team).

Mother’s Room

  • Unlock doors, turn on lights and open windows.
  • Ensure TV and speakers are on and working 10min before service (liaise with sound team).

Toddler Class

  • Unlock doors, turn on lights and open windows.
  • Ensure that the seats are setup for Toddler Class.

Sunday School Hall

  • Unlock doors, turn on lights and open windows.
  • Ensure that the seats are setup for Sunday School.

Duty Roster

  • Check the duty roster to see who is assigned.
  • Check everyone has arrived. Assign role to appropriate member if a person doesn’t arrive.
  • Check that all door greeters and stewards have what they need to perform their service.
  • Ensure that you, door greeters and Sunday school teachers are wearing their lanyards.

Security

  • Keep the panic button on you, or know where it is, in case of an emergency.
  • Know where the Emergency Contact List is kept  (see Appendix 3: Emergency Contact List).

Emergency Exit Plan

  • In the event of emergency act as Evacuation Leader (see Appendix 4: Emergency Exit Plan).

Generator

  • If the power is disrupted turn the generator on (see Appendix 5: Turning the Generator on).

During the Service

  • Check the sound is working in the tented area, the fellowship hall and the mothers room.

After the Service 1st Service

  • Ensure that the seats are sanitised.

After the Service 2nd Service

  • Ensure all windows are closed, all lights are turned off and all doors are locked throughout the building.
